D4V | Operations Manager

In a Nutshell:

We are seeking a Japanese/English bilingual Operations Manager to join D4V (Design for Ventures) in Tokyo. 

As an Operations Manager your core responsibility will be to ensure all administrative activities within D4V run efficiently, and work closely with D4V’s leadership to deliver an outstanding level of support to everyone on the broader D4V team. You will also be liaising with our vendors, Limited Partners and Portfolio Companies and maintain clear and effective communications with all parties.

D4V (Design for Ventures) is a Tokyo-based early-stage venture capital firm that invests in disruptive, consumer and enterprise technology startups. Partnering with the global design company IDEO, D4V provides both hands-on assistance and coaching to help startups create value via human-centered customer experiences and interactions.

We help startups deliver not only financial returns but also positive impact on the world. Our work aims to support and strengthen the culture of entrepreneurship in Japan and beyond, accelerating the growth of a more entrepreneurial economy.

Once you are here you will:

  • Be responsible for D4V’s day-to-day operations (e.g. calendaring, logistics, supplies, etc) to create an efficient environment conducive to great teamwork. 
  • Be responsible for all back-end administrative tasks (e.g. filing, stamping, sending and receiving documents, banking-related documentation, maintaining corporate registry records, make all necessary filing, support with taxes and auditing, etc).
  • Manage communications with our Limited Partners (e.g. subscription documents, capital calls, regular updates, etc). 
  • Manage invoices, payments and expenses in partnerships with our Accounting partners and the Operations team.
  • Assist with payroll and social welfare processing in coordination with the Operations team. Manage employee benefits (e.g. holiday management, 3.6 協定) consistently with government regulations and our HR policies. 
  • Cover all aspects of reception: screening phone calls and inquiries, receiving post and arranging couriers, greeting all visitors, setting up meeting rooms when needed and providing the appropriate level of hospitality (drinks, snacks, etc.). 
  • Planning and leading internal events (e.g. lunches, parties, offsites, etc), and supporting public events (e.g. workshops, lectures, speaking engagements, etc) in partnership with D4V marketing. Offer translation and interpretation as required.
  • Support hiring by coordinating all candidate interviews’ logistics and provide onboarding for new employees. If ever appropriate and possible, extend recruiting support to our portfolio companies.
  • Manage IT resources in coordination with the IDEO IT team and support troubleshooting whenever necessary. Maintain digital archives and physical storage systems for D4V.
  • Work with the IDEO experience team to create a viable and enjoyable hybrid work environment (e.g. plan small celebrations, welcome all visitors to our office, and support office events at large).

Relevant Experience & Mindset:

  • 3-5+ year relevant experience, ideally in venture capital, finance or management consulting.
  • Bachelor’s degree in finance, accounting or business preferred but not required.
  • Self-directed and proactive, detailed-oriented with strong analytical skills and critical thinking ability.
  • High level of flexibility, diplomacy, level-headedness and fortitude in a fast-moving environment.
  • Exemplary communication, work ethics, time management and organizational skills.
  • Ability to work both independently and as part of a team is a must. The firm has a strong culture of teamwork and a collaborative process.
  • Excellent interpersonal skills and comfortable liaising with different parties (including management and executives).
  • Fluent spoken and written Japanese and English is required.
