Project Coordinator Intern

In a nutshell:

We are seeking a Japanese/English bilingual Project Coordinator Intern to join our Tokyo studio. As a Project Coordinator Intern, you will support IDEO teams by helping organize, translate and schedule activities for our clients. This is a full-time, 6-month position with a focus on supporting IDEO Tokyo’s teaching-related activities.

We are looking for a collaborative and creative individual, someone highly motivated by getting things done alongside others. This person will contribute across projects, with a focus towards teaching engagements, client workshops, public events, research projects, studio inspiration, translation to and from Japanese, and more. Our ideal candidate is someone who can handle last-minute requests, remains calm under pressure, and moves fluidly between English and Japanese to solve problems.

This is a tremendous opportunity for an individual who thrives on creating order out of chaos while exhibiting exemplary time management and organization skills. Individuals who have prospered in similar roles within IDEO have come from design and architecture schools, advertising, large Japanese companies, management consulting, event coordination, food service, entertainment, and retail customer service.

Strong Japanese and English verbal and written skills are required for this position.

Once here you will:  

  • Help teams translate materials, presentations, and deliverables between English and Japanese
  • Work with and support teams to organize workshops, events, and materials, deliver great work, and meet deadlines
  • Coordinate client engagements and workshops with a high level of tact and personalized service
  • Provide real-time translation (no professional interpreter experience required) and accurate note-taking for business meetings and events
  • Help organize calendars for project members including booking and confirming meetings, workshops, and events
  • Coordinate arrangements for project-related travel and for overseas guests
  • Deal well with ad-hoc requests
  • Support various internal events/off-sites for the team
  • Obsess about making sure everything, from the mundane to the strategic, is accomplished in a timely manner
  • Find reward through enabling and supporting others

Relevant experience and mindset: 

  • Strong Japanese and English verbal and written skills
  • Experience working with creative people in a support or planning capacity
  • Excellent discretion, demonstrating sound judgment in dealing with confidential dialogues and information
  • Experience planning and executing events
  • Self-directed toward excellent work outcomes, comfortable in ambiguous, non-rules based environments
  • Great flexibility and an openness to new ideas, comfortable with having clients and partners unfamiliar and sometimes uncomfortable with our process and way of thinking
  • Knowledge of Mac platform, well versed in Microsoft Office / Google Docs, Gmail and very comfortable using the Internet as a research tool—Keynote and PowerPoint skills are a plus
  • Ability to travel occasionally
  • Extremely detail-oriented, and have excellent follow-through, devoted to seeing tasks to completion
  • Excellent multitasking in a fast-paced environment, and a rigorous commitment to solving problems creatively and swiftly
  • Capable of working with a variety of personalities and work styles
