Studio Assistant

In a nutshell:

IDEO London is looking for an uber-organised, focused, and dedicated Studio Assistant to join our Experience team.

This role is all about making sure our studio is running smoothly, that people (employees and clients) have a great experience when they are here, and that our work environment is one that proudly reflects who we are.

Why is this role important for IDEO’s work?

Responsibilities range from ensuring the studio is super tidy to helping to organise the finer details of client meetings and workshops. Our amazingly busy teams always have ad-hoc requests for in-house needs, or even preparing them for trips abroad. We’d love you to be part of the team who organise social events where we take time to celebrate and connect. 

The people who are successful in this role love to collaborate and be depended on - a real linchpin to the entire studio.

Once here you will:

Support our studio manager with the day to day needs of the office including:

  • Typical front of house duties (including receiving phone calls and welcoming visitors)
  • Keeping an accurate inventory of studio supplies and purchases
  • Daily check of meeting rooms for all visits (including flagging any tech issues, stocking up on supplies, clearing the space etc)
  • Working with the experience team on catering for all events.  
  • Organising and setting up weekly drumbeat internal events - Monday Morning Meeting/Inspo shares etc
  • Perform general basic maintenance of the studio or organising external support to fix any larger issues if needed.

Assist in improving the overall visitor experience:

  • Provide logistical support for visitors if needed 
  • Designing and sending out welcome packs
  • Working with our comms team in preparing assets and tourstops in the studio that illustrate our work for visitors

Relevant experience and mindset:

  • You do not need necessarily need a huge amount of work experience, however, a great attitude and focused mindset alongside a can-do attitude are essential.
  • A degree or higher is desirable, particularly if in a design subject as any creative and digital skills you have will be useful to bring ideas to life.
  • You need to be able to demonstrate great organisational skills. Requests for your help can be numerous so your ability to work autonomously and to prioritise is a must.
  • As you will be working with the whole team and be client facing you will need to be a good communicator - both verbally and in written communications.
  • If you happen to have any hospitality or customer service experience this will prove useful.
