Global Marketing Coordinator

In a nutshell:

The IDEO Global Marketing team is looking for a coordinator to keep a large team connected and support leadership to ensure that global marketing initiatives are advanced. This person is a creative problem solver who is comfortable going from details to big picture, and who thrives on making others successful.

This person plays a key role on the global marketing leadership team by supporting the Chief Marketing Officer, and also serves as our “front door”—the person you can go to with any marketing-related needs. One part air traffic control, one part horizon-watcher, and one part wise confidante armed with just the right medicine. This person helps keep the team connected, organized, informed, focused, and inspired by the tools, systems, and behaviors that streamline our process and workload.  

The person who would flourish in this role enjoys empowering others, exercises great judgment and discretion, and has a skill of connecting the dots across an organization. This person also serves as a kind of cruise director for the team, intuiting when it’s time for us to socialize, celebrate one another, or take a field trip.

Our coordinators make the biggest impact through organization and flexibility. They extend the impact and influence of our leaders by preparing them for travel, meetings, and other commitments, and creatively tackle hurdles along the way. This role is the drumbeat of consistency and reliability that keeps the studio moving forward in a coordinated way. We count on them to bring clarity to chaos, whether problem-solving with internal stakeholders or ensuring external client needs are being met.

Once here you will:

  • Serve as our department’s “front door” or concierge: first point of contact for the IDEO and external communities for global media and marketing-related inquiries
  • Create tools and systems for tracking projects flowing through the department and anticipate needs
  • Set a drumbeat for internal communication
  • Help with creation, care and feeding of marketing and knowledge sharing systems
  • Monitor team wellness: responsible for helping keep our energy high and our space buzzing
  • Arrange travel for team outings; coordinate large group meetings
  • Manage appointments and provide general support for our Chief Marketing Officer
  • Help set and track budgets through our expense management software
  • Track inventory of marketing collateral. Manage reorders and distribution.
  • Capture content and advance conversations through creative and professional expression
  • Manage, vet, and track incoming speaking requests
  • Act as an ambassador for Global Marketing at IDEO
  • Propel global marketing initiatives with logistical support, project management, and thought partnership
  • Plan and produce multi-day events, including venue, catering, content-creation, etc.


Relevant experience:

  • 3+ years of Executive Assistant experience desired, marketing experience a bonus
  • Familiarity with social media and web-based marketing channels and tools
  • Coordinating a globally-dispersed team and monitoring team wellness
  • Building and sustaining momentum, managing multiple priorities simultaneously, and determining what's urgent and important--all while keeping  an eye on the big picture
  • Enabling and empowering people and groups, through logistical support, project management, and creative inspiration
  • Proficiency in Google applications (Gmail, Google+, Sheets, Docs, Slides) and familiarity with Adobe's creative suite: Photoshop, InDesign, and Illustrator
  • Excellent writing and communication skills (articulate, accurate, timely)
  • Can synthesize and make decisions in ambiguous situations, and thrives in a dynamic, fast-paced work environment
  • An inclination for tools and systems to organize teams, track marketing activities and connect people
