Leadership and Project Coordinator

In a nutshell:

IDEO Palo Alto is in search of a Leadership and Project Coordinator to support the day-to-day activities of the studio's leadership and project teams. We're looking for people who thrive in a fast-paced, collaborative environment that are at their best when supporting others.

This person will be a part-time leadership coordinator providing direct support to one of the studio's leaders and a part-time project coordinator working closely with a dynamic group of IDEO designers and clients. One minute this person may be designing cultural moments for teams and clients to build strong working relationships, and the next, they may be creatively rejiggering meetings on a calendar to make time for multiple commitments. The variety—and pace—is exciting, vast, and constantly evolving.

Why is this role important for IDEO’s work?

Coordinators make the biggest impact through organization and flexibility. They ensure that our leaders and designers are prepared for travel, meetings, and other commitments, and creatively tackle hurdles along the way. This role is critical when it comes to keeping the studio moving forward in a coordinated way. We count on them to bring clarity to chaos, whether problem solving with internal stakeholders or ensuring external client needs are met.

Once here you will:

  • Collaborate with IDEO leadership to help organize and prioritize their commitments (e.g. schedule meetings, calls, travel, etc.)
  • Identify opportunities to create new processes or behaviors that enable alignment, strong communication, and effective collaboration across multiple stakeholders including clients, project leaders, and other internal IDEO teams.
  • Co-create a culture of creativity and inclusivity for new project teams and clients.
  • Help leadership and project teams maintain—and further nurture their client relationships, by creating an extraordinary client experience.
  • Help with day-to-day operations for project teams including managing portions of the budget (e.g. team building activities, catering, travel, etc.).

Relevant experience (past) and mindset (ongoing/potential):

  • 2-3 years of work experience
  • Able to manage competing priorities with a high level of organization and attention to detail
  • Capable of building relationships with a variety of stakeholders
  • Enjoys creative problem-solving in a rapidly changing environment
  • Excellent written and verbal communication skills
  • Interest in designing cultural moments that bring people together
  • Flexible, proactive and optimistic.
