Leadership and Project Coordinator

In a nutshell:

We are looking for a Leadership/Project Coordinator to join IDEO’s Global Technology Team to support the day-to-day activities of the Global leadership team and their projects. This role is part executive assistant and part project coordinator. Supporting busy leaders in streamlining their calendars and workflows is one key part of the job. Coordinators tend to be at their best when supporting and making others successful. Helping teams plan, execute, monitor progress, and close projects is another key part. We are seeking someone who is passionate about technology, tools and systems and how they can improve business process.

Coordinators make the biggest impact through organization and flexibility. They ensure that our leaders are prepared for travel, meetings, and other commitments, and creatively tackle hurdles along the way. This role is critical when it comes to keeping the globally distributed team moving forward in a coordinated way. We count on them to bring clarity to chaos, whether problem solving with internal stakeholders or ensuring external client or partner needs are met. They will represent IDEO in a professional manner, both internally and externally and navigate challenges with optimism,  At IDEO, Coordinators have the unique opportunity to get involved in multiple projects, both internal and external, in a dynamic and agile operating mode. You will become the go-to team member to help the technology team figure the fun, sticky things out, while exploring and defining opportunities to surprise and delight, with a zeal to positively impact individuals teams, leaders, and the broader organization.

Once here you will:

  • Act as the first point of day-to-day contact for IDEO leadership and handle internal and external correspondence with appropriate tone, craft, and delivery.
  • Maintain an understanding of the big picture while balancing the core tasks of this role: scheduling meetings, managing appointments, arranging travel, managing expenses, and creating and maintaining organizational systems.
  • Collaborate with IDEO Leadership to identify, prioritize, execute and monitor their priorities and yearly projects.
  • Help define agreed upon timelines, facilitate progress, manage adaptable budgets, and assure all projects meet their deadlines with success.
  • Work with IDEO help center product owners to fulfill ERP & Tech help center requests, and write/edit articles to support our knowledge systems.

Relevant experience and mindset :

  • BA with at least 2-5 years of full-time work experience.
  • Excellent written and verbal communication skills.
  • Competent in using Microsoft Office or Google Suite.
  • Capable of building relationships with a variety of stakeholders and able to anticipate the needs of others.
  • Lover of logistics, able to manage competing priorities with a high level of organization and attention to detail.
  • Enjoys creative problem-solving in a rapidly changing and entrepreneurial environment.
  • Flexible, proactive and optimistic.
  • Sharp detective and sleuthing skills.
  • Belief that there is no such thing as an average kind of day.
