Grants Operation Manager, IDEO CoLab

In a nutshell

IDEO CoLab is in search of a Grant Operations Manager who will oversee all operational activities for the launch of a CoLab portfolio focused on cash-in-cash-out in emerging markets. We’re looking for an operations-whiz that can balance financial reporting, coordinating activities between internal and external partners, and setting up and running operational platforms.

Why is this role important for IDEO’s work?

The Grant Operations Manager will join the founding team for an exciting new partnership between IDEO and IDEO.org, funded by the Bill & Melinda Gates Foundation. This person will make the biggest impact by ensuring that the work done as part of this grant is done efficiently and reported successfully. This role is a combination of financial savvy, time and personnel management, grant reporting, project scoping, and performing critical operations functions.

Once here you will

  • Oversee the financial health of a 10M+ Bill & Melinda Gates Foundation Grant. Key responsibilities include enabling the project teams and finance department to achieve financial objectives such as: delivering projects on time and on budget.
  • Prepare various types of weekly and monthly reporting for our business and for the Gates Foundation: including but not limited to things like business development data, talent utilization, credit card reports, and be comfortable with sense-making and sharing recommendations.
  • Help scope and execute pilot projects with external corporate partners, entrepreneurs and the IDEO CoLab team. Schedule and coordinate collaborative prototyping sprints between networks of external partners, which might involve finding locations, making sure participants get key information and coordinating follow-up post event
  • Continually seek opportunities to help us work smarter via new/refined tools and processes, and be able to identify the places where measurement matters most. Relevant experience and mindset

This job is suited to someone with at least 3 years of work experience in an operations, grant management, or finance role, preferably at a creative agency, non-profit, or consulting services firm. It requires someone with comfort in both business and design and an interest in translating between the two.

Required Skills:

  • You’re the go-to for analytical questions. You don’t need to be an ex-banker, but you must be comfortable in Excel, and have a command of finance and accounting.
  • You can manage several projects with high impact and quality. You’re flexible, hyper detail-oriented, and have exemplary time management and organizational skills.
  • You are entrepreneurial. If there’s no obvious process or answer, you roll up your sleeves and figure it out to get things done.
  • You are dynamic and able to adjust course without breaking a sweat. Our pace is fast, our process fluid, and our environment is less than traditional.
  • You’re an articulate, confident communicator and an even better listener.
  • You’re collaborative. You have strong interpersonal skills and are able to build relationships. You work well with a diverse community of individuals.
  • You have a proven track record of sound judgment and discretion, and are comfortable handling confidential information.

Bonus Skills:

  • Grant or foundation-specific operations or financial reporting experience
  • Experience working in (or interest in) designing for financial access
  • Experience working in emerging markets, or with teams that primarily operate in emerging markets (India or East Africa preferred)
