Office Manager (IDEO Client)

In a Nutshell

IDEO is working with one of their clients based out of Palo, CA to help them find an Office/Operations Manager. This person will be inclined to pitch in with whatever is needed at the moment – channeling hospitality and organizational sensibilities and has a knack for relating to all kinds of people. This person sees the larger picture of how studio experiences inspire creative work and cares deeply for the well-being of others. We expect the Office/Operations Manager to have a “no task too big, no task too small” attitude with a natural inclination to get their hands dirty.

Once you are here you will:

Your role as an Office/Operations Manager will vary but may include:

  • Contribute to the day-to-day running of the office (calendaring, hospitality, logistics, supplies), in a hands-on manner.
  • Partner with People Ops on keeping a pulse-check on office culture and organize the company's events and team activities.
  • Support office space reorg, remodeling, and moving.
  • Assist the teams with booking meetings and event spaces.
  • Onboard new hires, including ordering furniture and equipment as needed, setting up a workspace, providing guidance on office policies, providing requested office allowance supply and tracking usage of office allowance.
  • Own all aspects of vendor management (office and facility related), including building positive working relationships, benchmarking, performing the on-going evaluation.
  • Assist remote teams and hiring managers with finding affordable short-term and long-term lodging arrangements for headquarter visitors.
  • Maintain stock of the company's SWAG, supply, water, and food.
  • Partner with Finance team in preparing and managing office and facility budgets.
  • Assist in keeping the company's records complete and accurate in accordance with filing policies and procedures, suggest and implement policies that improve efficiency.
  • Host C-level executives, as well as other companies and political figures, and go above & beyond in providing hospitality services.

Relevant experience and mindset:

  • 3-5 years of experience in a related role.
  • Excellent coordination, time management, and organizational skills.
  • Natural ability to prioritize tasks.
  • Success at managing a high-volume of responsibility in a fast-paced environment.
  • A “no job too small” mentality.
  • Enthusiasm for collaborating with a variety of personalities and work styles.
  • Proficient with standard cloud-based applications (Google Apps).
  • Helpful and empathetic, able to think and react on your feet.
  • Calmness and resilience, comfortable with handling tasks and meeting deadlines in a fast-paced environment.
  • Interest in working in a creative environment.
