Global Brand Team Coordinator

IDEO is in search of a Team Coordinator to join our Global Brand team, based in San Francisco. This person is a creative problem solver who is comfortable going from details to the big picture, and who thrives in a fast-paced environment to easily set priorities and help make others successful.

This person flourishes in this role by empowering others, effortlessly navigating the intricate balance of time-sensitive daily tasks, shifting priorities, and a high volume of inquiries in a fast-paced creative environment and ushering teams across the finish line of projects. A successful candidate exercises excellent judgment, is self-directed, enjoys being part of a highly collaborative team, and is a natural connector across an organization. This person is highly attuned to nuance and is able to read a room, knowing when to lean in and when to step back.

A team coordinator on IDEO’s Global Brand team is very much like a “Producer”, you may have moments of being a director, actor, or writer, but for the most part you are the magic maker that helps pull it all together, helps team members show up as their best selves, and helps the larger group deliver great work. Team coordinators are plugged into the behind-the-scenes of IDEO’s business because they are relied on to help prioritize time and resources when work pulls teams in many different directions. Team coordinators are counted on to help teams stay on top of things, show up with confidence, be ready to take on any conversation, and take part in maintaining key relationships. Once here, you will

  • Maintain a bird’s eye view of the Global Brand team’s priorities and projects
  • Schedule and coordinate recurring meetings for the Global Brand team
  • Propel team initiatives with logistical support, project management, and thought partnership — use systems (calendars and spreadsheets) to help us stay focused and track next steps
  • Spot inefficiencies in workflow and suggest improvements to bring out the best in every team member
  • Manage calendars and provide general support for three Global Brand team leaders -- fielding requests for meetings and setting appointments.
  • Field marketing inquiries from the IDEO community, and get them to the right colleague
  • Field incoming speaking requests for IDEO and direct to the appropriate marketer(s)
  • Plan and produce multi-day events, including venue, catering, content-creation, etc.
  • Use your creativity to celebrate key milestones (feature launches or project wrap-ups) and build a day-t0-day feeling of belonging and team camaraderie
  • Design team outings as part of building community and culture
  • Actively connect with other groups throughout IDEO San Francisco and IDEO Globally in a way that builds relationships, trust, and credibility
  • Act as an ambassador for Global Brand Marketing at IDEO

Relevant Experience

  • 2+ years of assistant experience desired, marketing experience a bonus
  • Coordinating a globally-dispersed team and monitoring team wellness
  • Building and sustaining momentum, managing multiple priorities simultaneously, and determining what's urgent and important--all while keeping  an eye on the big picture
  • Flexible and able to handle unforeseen events/requests with ease and cheerfulness
  • Can synthesize and make decisions in ambiguous situations, and thrives in a dynamic, fast-paced work environment
  • Enabling and empowering people and groups, through logistical support, project management, and creative inspiration
  • Excellent communication skills (articulate, accurate, timely)
  • Proficiency in Google applications (Gmail, Google+, Sheets, Docs, Slides) and familiarity with Adobe's creative suite: Photoshop, InDesign, and Illustrator
  • An inclination for tools and systems to organize teams, track marketing activities and connect people
  • Maintain a mature and professional demeanor
  • Works well with ambiguity and is able to make decisions without all the information
  • Helps foster joy, optimism, and collaboration across our team. Brings IDEO’s values to life on a day-to-day basis.
