Human Resources Coordinator

In a nutshell: 

We are looking for a Human Resources Coordinator to help with providing a variety of administrative support to HR and Payroll and contributes to building an exceptional employee experience. Strong attention to detail, the ability to multitask and problem solve, and collaboration is essential. Most importantly, having a genuine passion for working with people and providing great employee support is key.

The Human Resources Coordinator fills a critical role on our Bay Area Human Resources team by helping to deliver a world class employee experience. In this role, they have the ability to shape the experience of IDEOers at all levels of the organization, from brand new talent to leadership, through their guidance.

Once you are here you will:

  • Insure accuracy of employee data including new employee information and tracking and updating existing employee changes in our HRIS and Benefits systems
  • Manage data entry for our HRIS, Benefits, and Payroll systems
  • Work in collaboration to assist the HR team in administrative tasks, employee support, and various project implementations
  • Process employee benefits and assist employees with benefit related questions and issues
  • Work closely with Accounts Payable to oversee monthly benefits invoicing
  • Day to day liaison with payroll and accounts payable, answering employee inquiries and processing reimbursements
  • Handle all verifications of employment for past and current employees
  • Assist with new hire processing, preparing new hire packets and ensuring all paperwork is completed, signed, checked for accuracy and filed appropriately
  • Assist with new hire orientation for employees, speaking on policies, procedures, and benefits
  • Assist with coordinating all departure logistics
  • Develop an understanding of compliance with all federal, state and local laws
  • Act as back-up for our Payroll Lead for bi-weekly payroll(s)

Relevant experience and mindset:

  • Prior HR knowledge and experience a plus
  • Ability to be creative and innovative in bringing solutions to problems
  • Experience working with confidential information requiring discretion and tact
  • Experience working with ADP, Bamboo, etc.
  • Great time management skills, ability to prioritize assignments and meet deadlines
  • Strong computer skills with MS Office Suite required
  • Excellent communication skills, written and verbal
  • College degree; Human Resources emphasis preferred
